I build Tendro, which competes with every product below. The prices are copied from the organizers' and vendors' own PDFs as fetched in September 2026, with the link on each row, so you can check them without trusting me. Order-level fees, deadlines and equipment terms are listed per form after the table.
How much does organizer lead retrieval cost per device in 2026?
On twelve order forms a first app license is $249 to $455 advance, $525 at most late; handhelds and packages $411 to $735; extras $134 to $237.
Advance is the earliest tier printed on the form, late the last one. Where a form prints a single price, the row shows one number.

SEMA, FABTECH and AAOS in 2026 carry the same XPress Leads core prices line for line, and PRI's 2025 and 2026 forms are identical, so within the Maritz and CDS family the device prices did not move between those editions. And every vendor discounts the second person: extra activations are $134 to $237 against first licenses of $249 to $455, which is why the break-even math below has to use them.
Which lead retrieval order forms are the cheapest in this sample?
Central Plains' Cvent form: $249 for one app license, $149 per extra. ATD's $350 app, NEI's $411 handheld and NAB's $422 tablet come next.
First app licenses, advance rate, cheapest first: Central Plains $249, ATD $350, NEI $363, Atlanta Market $385, AHA $400, then the 2026 XPress Leads sheets at $455. Where the app is sold only as a multi-user pack, the entry price is $525 at NAB, $549 at the Restaurant Show and $570 at PRI. Rented devices: NEI's Axist handheld $411, NAB's tablet $422, the Restaurant Show's tablet $479, NAB's handheld $494, ATD's Lead Plus $495, Central Plains $499, Atlanta $505, then $525 to $605 on the rest.
Where does a $499-per-event app lose to the organizer's product?
At one-person booths at the advance rate on most forms, at two people at Central Plains, and on one rented device where it is priced under $499.
Tendro is $499 per event with unlimited team members, unlimited people, so the comparison is the organizer's total for the number of people who will scan, against $499, at the tier you will actually pay.
- One person, one license, advance rate. Every standalone license beats $499: $249 at Central Plains, $350 at ATD, $363 at NEI, $385 at Atlanta, $400 at AHA, $455 on the 2026 XPress Leads sheets. The exceptions are the pack-only forms, where one person pays $525 at NAB, $549 at the Restaurant Show and $570 at PRI.
- One person, late rate. The XPress Leads single activation is $525 after the cutoff, above $499. The cheap licenses stay cheap late: Central Plains has no late step, ATD tops out at $400, NEI at $394.
- Two people at Central Plains. $249 plus $149 is $398, the organizer wins by $101, and at three people its $499 three-pack ties. At ATD two licenses are $500, a $1 difference.
- One rented device under $499. NEI's handheld at $411, NAB's tablet at $422 and handheld at $494, the Restaurant Show's tablet at $479 and ATD's Lead Plus at $495 are below $499 at the advance rate, before tax and processing fees; Central Plains' $499 handheld ties, and the Restaurant Show tablet ties at its $499 standard rate and loses at $549 late.
- The data. A tie or a small margin can still favour the organizer's product, because the rented scanner resolves the show's badge ID against the registration database and a phone app reading the printed badge does not. This page compares purchase prices. It does not demonstrate that an OCR-and-enrichment capture returns the same fields as the organizer's export, and a reader who needs the registration fields should weigh that above a $26 difference.
The per-event versus annual breakdown runs the same comparison from the buyer's calendar rather than the booth headcount.
What is the break-even booth size per show?
Two people on most app forms, one where the app comes only as a three-user pack, four at Central Plains, two devices where a handheld is under $499.
Advance prices, product subtotals before processing fees and tax, using the cheapest combination each form allows: a first license plus additional activations, or the package where that is lower.

What do the forms charge beyond the device?
Developer API kits $715 to $1,330, printers $100 to $170, delivery $132 to $230, surveys and qualifiers $75 to $170, badge kits $450 to $995.
The device line is the number people compare; the other lines are where the invoice grows, and they vary more between vendors than the device prices do.
- Developer access. The XPress Leads sheets price an Event API at $1,120 advance and $1,330 after the cutoff in 2026, $910 early on the 2025 AHA and PRI forms; Atlanta's is $985 to $1,285, ATD's real-time kit $990 with a post-show data merge at $440 to $490, the Restaurant Show's $950, NEI's $850 and NAB's $715. The forms describe these as your developers integrating the vendor's API with your lead system. None is a ready-made CRM connection.
- Printers. Bluetooth printers pair with one device: $100 to $150 at the Restaurant Show, $120 to $165 at Atlanta, $125 to $170 on the AHA and PRI sheets, $145 to $170 on the 2026 XPress Leads sheets, $149 at NAB.
- Delivery to the booth. $132 at NAB, $160 to $220 at Atlanta, $165 to $230 on the AHA and PRI sheets, $200 at the Restaurant Show, $205 to $230 on the 2026 XPress Leads sheets.
- Qualifiers and surveys. $75 to $95 at NEI, $99 at NAB, PRI and the Restaurant Show, $110 to $160 for ATD's follow-up action codes, $125 to $165 at Atlanta, $130 to $170 on the AHA and 2026 XPress Leads sheets when not bundled into a package.
- Bringing your own scanner. Central Plains prices a $995 badge kit and NEI a $450 one for exhibitors using their own lead retrieval solution; the kits support third-party use of the show's badge data. Neither form sets a charge for reading printed badge text with OCR.
Order-level terms differ by form. The XPress Leads and XPress Connect sheets charge $25 processing with $10 off online and offer an optional loss and damage waiver at $95 per rental item ($90 at Atlanta); PRI's 2025 form charges $20 processing and its 2026 form $9.99; NEI charges $15; NAB marks its app licenses as not taxed and puts rentals and printers under a taxable subtotal at 8.38%. The Maritz and CDS forms charge $100 for cancellation outside the last 30 days and refund nothing inside it; NEI charges $75 outside two weeks; ATD $75 through May 7, 2026 and nothing back from May 8. Unreturned equipment is billed at replacement: $1,000 for an XPress Leads device or printer, $2,000 for ATD's Lead Plus scanner, with a separate $100 fee if ATD has to recover abandoned equipment, and $2,500 per device at NEI.
The SEMA, FABTECH, AHA, PRI and NAB terms allow badge images and handwritten badge IDs to be uploaded within 14 days after the show for a data services fee the forms do not state. The organizer scanner cost breakdown covers what a season of these lines adds up to.
How much do late orders add?
Nothing to $170 for apps and rentals, up to $420 for API access. NAB and Central Plains apps have no late step; AHA's handheld package rises $170.
The step depends on the product, so here it is by form, advance to last tier: AHA's app $125, handheld $160, handheld package $170; the 2026 XPress Leads single activation $70, handheld $80, handheld package $95; PRI's package $115, handheld $160, tablet $50; Atlanta's app $120, handheld $160; NAB's handheld $105, tablet $78, app $0; the Restaurant Show's app, handheld and tablet $50 to $70; ATD's app, additional license and handheld $50 each; NEI's app $31, additional license $13, handheld $43; Central Plains' handheld $100, app $0. The dates, from the forms that print them: SEMA September 22, 2026 for a November 3 show; FABTECH September 9 for October 21; AAOS January 20, 2026; PRI October 1 then November 12 for a December 10 show; ATD advance through April 9, 2026, regular April 10 to May 7, onsite from May 8; NAB January 23 then March 6, 2025 for an April show; the Restaurant Show March 11 then April 21, 2025; Central Plains prints conflicting windows for its handheld tiers, so confirm the first cutoff with the organizer; the second column runs to March 3, 2026.
What does this price table not tell you?
Twelve US forms, nine from Maritz and CDS. It sets no market-wide price and leaves out portal-only shows and shows with another organizer workflow.
First, the sample: twelve forms, nine from the Maritz and CDS family, all US. European shows price differently and often through the Messe's own app. Second, gated forms: IMTS, PACK EXPO and RSNA publish their lead retrieval pricing only inside the exhibitor portal, so the IMTS, PACK EXPO and RSNA pages carry prior-year or reported figures, labelled as such. Third, shows with a different organizer workflow: Money20/20 USA sells no scanner, and sponsors instead get Money20/20 Connect exports of their meetings and connections, so a capture app there covers the booth conversations those exports do not record.
